About the role

Works closely with and have impact on: Functional Leaders and GHQ Site Leadership

Reports to: Executive Assistant

Work Location/Site: Singapore / GHQ

 

Role Overview

This position provides secretarial support, administrative support, and handles corporate matters for management, thus ensuring their daily success and allowing them to focus on other priorities to attain the required objectives for the company.

 

Duties and Responsibilities

  • Prepare correspondence, reports and meeting materials for presentations
  • Calendar management, interact with both internal and external parties
  • Coordinate video teleconference and internet-based meetings, seminars, and events
  • Make overseas travel arrangements and accommodation arrangements for company visitors
  • Prioritise and manage multiple projects simultaneously
  • Prepare and maintain expense reports
  • Perform general clerical duties but not limited to photocopying, faxing, mailing and filing
  • Maintain hard copy and electronic filing system
  • Participate in company’s ad hoc projects
  • Any other tasks assigned by management

 

Requirements

Experience

  • Minimum 2-3 years of secretarial experience

 

Skills/Accreditations

  • Able to handle highly confidential materials
  • Flexible, positive, and pleasant disposition with a good sense of responsibility
  • Strong interpersonal skills
  • Strong verbal and written communication skills
  • Highly organized and detail oriented
  • Ability to multi-task in a fast-paced environment
  • Problem solver
  • Proficient in Microsoft Office (PowerPoint, Word, Excel, Outlook)

 

Academic Qualifications

  • Diploma holder in administration, Business, or LCCI Private Secretarial

  • Minimal
